I just ran a recent email exchange with a problematic ex-colleague who has shown a repeated pattern of not respecting boundaries, through Claude to ask it for critical feedback detailing the blind-spots of both parties in the conversation, then to take the insights from that to create an article for others who may encounter similar archetypal issues. This is what it came up with. I am publishing it in its entirety.
As helping professionals, we’re trained to listen deeply, seek understanding, and create space for others to process their experiences. These skills serve us well in our work—but they can become serious liabilities when dealing with individuals who don’t respect boundaries or operate from delusional thinking.
The very qualities that make us effective helpers can enable problematic behavior in our personal lives:
Active Listening becomes validation for someone’s fantasy narrative. When we reflect back what we hear, boundary-pushers interpret this as agreement or encouragement.
Seeking to Understand gets weaponized. Our natural curiosity about underlying motivations can be mistaken for personal interest or romantic availability.
Providing Context and Explanations opens the door to negotiation. What should be a simple “no” becomes a detailed explanation that the other person sees as a starting point for debate.
Assuming Positive Intent keeps us engaged longer than we should be. We make excuses for concerning behavior because we’re trained to look for the wounded person beneath difficult actions.
Professional Warmth gets filtered through someone else’s projections. Kindness becomes “proof” of special connection; boundaries become challenges to overcome.
These challenges become exponentially worse when dealing with someone operating from fantasy or delusion. Consider these warning signs:
Many empathetic people fall into what’s known as JADE: Justify, Argue, Defend, Explain. We feel compelled to provide reasons for our boundaries, but with someone who doesn’t respect limits, explanations become:
Professional mode works when someone is:
Protection mode is necessary when someone:
When you recognize boundary-pushing behavior, immediately shift to:
Replace explanatory responses with simple statements:
State your boundary once, clearly, then refer back to it:
Remove emotional labor from your responses:
Don’t answer questions that assume intimacy or special relationship:
This approach can feel uncomfortable because it requires temporarily suppressing our professional identity. We may worry we’re being “cold” or “unhelpful.” Remember:
The key to protecting yourself is learning to spot concerning patterns in their earliest stages, often before the person has crossed any obvious lines.
Disproportionate Emotional Investment
Boundary Testing Language
Context Escalation
The Empathy Trap
Persistent Curiosity
Reframing Rejections

Your body often recognizes danger before your mind does:
Physical Responses:
Emotional Responses:
As helping professionals, we’re trained to look for the wounded person beneath difficult behavior. This can cause us to miss red flags by:
The 48-Hour Rule If someone’s message makes you feel uncomfortable, wait 48 hours before responding. If you still feel uneasy, trust that instinct.
The Professional Filter Test Ask yourself: “Would I respond this way to a random colleague?” If not, you’re probably being pulled into inappropriate territory.
The Escalation Check Are their messages getting longer, more personal, or more frequent despite neutral responses from you? This is a clear escalation pattern.
The Context Audit Are they treating your professional warmth as personal interest? Are they referencing “our relationship” when you consider it casual or professional?
Remember that your professional instincts to:
…can actually enable concerning behavior. Sometimes the most professional thing you can do is recognize when someone needs a firm boundary rather than understanding.
Institutions employing helping professionals should:
Your empathy and professional skills are tremendous assets—in the right context. Learning to quickly identify when someone is operating outside the bounds of healthy interaction, and switching to protective mode, isn’t a betrayal of your values. It’s professional boundary management applied to personal safety.
The people who push boundaries are counting on your empathy to override your self-protection. Recognizing this dynamic is the first step to maintaining both your effectiveness as a helper and your wellbeing as a person.
Remember: You cannot therapize someone out of not respecting your boundaries. Sometimes the most helpful thing you can do—for both of you—is to stop helping.

And if this resonates, know that you’re not the only one who has faced this issue, it is such a common pattern it features in this comedy.

“Having ongoing training is essential for our team and our business. It’s important to look after the people that look after others. Kylie has the experience, professionalism and knowledge to engage with our team and help them understand about human behaviour and why people do what they do. In the wellness and health industry it’s a different sales and service delivery and it’s imperative to keep on top of these understandings to perform at our best to help others. We couldn’t recommend Kylie high enough.”

“I have worked with Kylie over many years. She has helped me as a Business Mindset Coach, as a motivational speaker for my gym clients at both Vision Personal Training & now at Flow Athletic. I bring her in to train my Personal Training teams in mindset, communication and how to coach our clients better and excel in our own personal mastery as fitness leaders. At my recent Fitness Business event, my gym owner colleagues were blown away by her talk, saying she is the best speaker they have ever seen. After every event we always get rave reviews about her talks and training. I highly recommend Kylie’s work as a coach & speaker.”

“I finished the Spiritual Awakening Course yesterday and I found it truly amazing. An incredible next step after our coach training. I feel so much more enlightened and “opened-up”. It has really opened my eyes to the power of the universe and the energy flowing in each of us. I loved it – thank you.
I am feeling so lucky at the moment. So many things are just falling into my lap. I visualise it and set my intention to manifest it and it comes. Things such as getting more clients, needing help to put my business online, not knowing how to get known in my local community etc. Courses / insights / clients have just fallen into my lap at the right time.”
Of course I am still learning and growing, but the course has really helped. Thank you”

“Before I signed up with Kylie I had a busy PT business… I was exhausted and on the brink of burnout and no matter how hard I tried, I had reached a ceiling in my income that I just couldn’t break through. After completing my NLP Coaching certification, I found my true voice and the energy of my business has been completely transformed. I’ve created an online program, up-levelled my entire business and totally smashed my previous income goals. I make decisions more confidently and I can help my clients create change in their life even faster. On a personal level, NLP gave me the inner strength to leave a toxic situation and rebuild myself which lead to me discovering the love of my life! Today I am living the life that I’ve always wanted – but just hadn’t been able to put into words. I have never been this happy or this powerful. If you want to manifest the life of your dreams I would not hesitate to reach out for help from Kylie.”

I signed up with Kylie because I knew that to have a bigger effect as a PT I needed to improve my understanding of how the mind works. Through NLP Coach training I now have great coaching techniques that break through all sorts of negative behaviour patterns. I’ve noticed big improvements in all areas of my life including my own personal finances and my client retention. This has allowed me new freedom to work on scaling my business and helping even more people with less one on one time from myself. The coach training has given me the ability to fully unlock the power of your mindset and those that don’t have this skill are only tapping into a small amount of their potential.

This morning I had a kick-ass coaching session with Kylie Ryan. We’ve been working together for a couple of months, and she’s the perfect person to help me integrate the rapid transformations I go through regularly. I’d been getting this vision of my fully mature creative and entrepreneurial self. His discipline, commitment, and command of wealth was 10x what mine is now, but it wasn’t really about money for him. Our coaching sessions usually roll with me saying, “Kylie, I want to be, do, and have EVERYTHING” and Kylie helping me find the archetypes and parts that aren’t integrated and bringing them together. MAGICK HAPPENS EVERY TIME.
